Where your data lives
Many organizers must be able to tell their attendees, sponsors and legal team exactly where personal data is stored. Moostoo answers that with a single, permanent choice per organization: Canada or the EU. Everything your organization stores or processes stays in that region, so the answer is the same for every event you ever run.
The two regions

Chosen once, permanently
- You choose the region in the Data residency step of your first event, just before Review. Neither region is preselected, and a confirmation asks you to be sure before anything is created.
- It cannot be changed later, and there is no tool to move an organization to the other region. If you need both, you run two organizations.
- Your organization's profile shows the region on a read-only Data location card, with a What this means statement you can share — see Organization profile.
What stays in your region
Your organization's settings and team; your events and everything in them; registrations, profiles and answers; orders, tickets and payment records; sessions, speakers, sponsors, companies and contacts; meetings, messages and notes; files and images; badges, check-ins and attendance; the emails your organization sends; analytics; AI matchmaking and every AI feature's processing; search indexes; logs; and all backups.
AI stays in the region too
For an EU organization, Ask Moostoo, AI matchmaking, profile writing help and floor-plan import run on AI models hosted in the EU; the assistant says "AI for this organization runs in the EU." A feature with no EU-hosted model is switched off for EU organizations rather than sent elsewhere.
What you notice day to day
Nothing. The admin app, the attendee app and your website have the same addresses whichever region you are in, and a person who attends events of a Canadian and an EU organization sees both in one list. Screens that gather events from several organizations — an attendee's list of events, their cross-event agenda and inbox — ask each region directly; if one region cannot answer, the others still show, with a note that some events could not be loaded.
Sign-in accounts
A person's sign-in account — their email addresses and their password or sign-in provider — is held in one region: the one where they first created it. That is what lets one account reach organizations in both regions, so an attendee of your EU event may well sign in with an account created in Canada, and the other way round. To route each sign-in to the right region, Moostoo keeps a small routing record in Canada holding account ids, the region each account lives in and a keyed fingerprint of each address — never a name, an address or a password.
The Data location card on your organization profile has a What this means statement you can quote in your privacy notice. Its paragraph on global sign-in data still describes the earlier arrangement, in which every sign-in account was kept in Canada; until it is updated, describe sign-in accounts as explained above.
