Your first event

Who: Account owner

You signed up to run an event, so that is where Moostoo starts you. The first-event wizard asks about the event — its name, dates, type and format — and quietly creates the organization that will hold it, your team and your billing. Two decisions made here stay with you: the event's timezone decides every time your attendees see, and your organization's data region is permanent.

How it works

After you confirm your email address, a new account with no organization lands straight on the event wizard. It is the same wizard your team will use for every later event, with one extra step — Data residency — because this is the moment your organization is created.

Event Identity Name, app address, description (optional — you can add it later), start and end dates, timezone, where it happens (venue, city, country), the event's images (logo, favicon, cover, mobile banner and My Events card) and brand colours, which by default inherit your organization's. Images are all optional; on your first event they can only be given as a web address, because your Media Library does not exist until the organization does — add them afterwards in Event Assets.

Type & Format The event type (required) starts the event with that type's suggested attendee types and recommended feature settings — nothing is set up until you create the event, so you can browse freely. The format — On-site, Online or Hybrid — shows what is included, such as virtual rooms for online and hybrid events. The step also asks for visibility: Public (anyone can discover and register) or Invitation Only.

Data residency Where your organization's data will live: Canada or the European Union. Shown only on your first event. Neither is preselected, and you cannot continue without choosing.

Review A summary of everything above. Nothing is created until you press Create Event and confirm.

Your organization's name is worked out for you

  • Signed up with a work address (say alex.morgan@northwind.com)? The organization is named after its domain: northwind.com.
  • Signed up with a personal mailbox (Gmail, Outlook and the like)? It is named after the event: Northwind Summit 2026 Organization.
  • The name is shown on the Data residency step before anything is created, and you can rename it any time on Organization profile. The wizard itself has no organization-name field.

The region is for ever

Your organization's data region cannot be changed later and there is no way to move an organization to another region. Before you confirm, read Where your data lives and check with whoever answers your privacy questions.

Step by step

Sign up with your email address and a password, then enter the confirmation code Moostoo emails you.

You land on the event wizard. If you already belong to an organization — because a colleague invited you — you go to that organization instead, and cannot use this first-event flow.

On Event Identity, enter the event name, pick the dates and the timezone the event runs on, and fill in where it happens.

Pick the timezone of the venue, or of your audience for an online event. Every session time and meeting slot is entered and shown on this clock.

Optionally write a description and adjust the brand colours. Click Next.

On Type & Format, choose the event type, the format and the visibility. Click Next.

On Data residency, choose Canada or the European Union, and check the organization name shown underneath. Click Next.

Check Review and click Create Event. Confirm the region in the dialog that names your organization and where it will be hosted.

Moostoo creates the organization, then the event, and makes you its Account Owner and the event's Admin.

If the organization was created but the event could not be, Moostoo says so and offers Open your organization — your organization is kept, so do not sign up again. Create the event from the organization's dashboard.

What attendees see

Nobody sees a new event yet. It is created as a draft: there is no registration, no published website and no attendee to open the app until you set them up and go live.

Tips

  • Not sure about the event type? Pick the closest one — its main effect is the suggested attendee types you start with, which you can rename, add to or delete. The type itself can be changed later in Event settings.
  • Get the timezone right now. Changing it later is treated as a correction: session times keep their clock reading, so a wrong zone moves every session in real time — see Timezone.
  • Want to explore before building your real event? Create a sandbox event from a template — it comes with sessions, speakers and fake attendees, and sends nothing to anyone.
  • Your team does not need to be added during creation. Invite them afterwards on Team and seat them on the Event team.
