Service providers

Edition: FullWho: Account owner, Super user, Event admin, Service providerAffects attendees

At a real event, the AV technician, the IT desk, the logistics crew and the stand builder all get asked for things: an extra microphone, a spare cable, a power strip at booth 12. The Service Provider role brings these people into Moostoo with exactly the access that job needs: they talk to attendees in the app, turn requests into tracked work items and, where a service costs money, get it approved and paid. They cannot change your programme, your settings or export your attendee list.

How it works

Service Provider is an event role, chosen when you add someone to an event's team, alongside Admin, Member, Volunteer and Partner. Like every team member, a service provider is also a participant of the event — they sign in to the attendee app, appear on the roster and can be messaged. Their permissions are fixed: the permissions panel lists them and nobody can switch them on or off.

What a service provider can and cannot do
  • They work in the attendee app. Their Work Items screen lists the items they created and has New Work Item; in their one-to-one and event team conversations (not group chats), each message from an attendee offers Convert to work item. Work Items sits in the app's Me menu section by default.
  • Team chat bypasses the chat matrix. The attendee-to-attendee rules of Experience rules do not stop a team member from messaging an attendee.
  • Converting a request from a private chat makes it visible. That conversation becomes a service conversation and appears in the Service & group chats view of Messages, so organizers can see how the request was handled.
  • Event admins can do everything a service provider does with work items, and more.

Step by step

Set up the work item types your providers will deliver, with a fee where the service is charged.

Open Settings → Event Team and click Add Team Member.

Search for the person, or type the address of someone who is not in your directory yet.

Someone who has never signed in receives an invitation email to create their account.

Under Event role, choose Service Provider and click Add to Event Team.

Ask them to open the attendee app for your event: their Work Items screen and chat conversion are ready.

Place Work Items somewhere visible in your app's navigation so providers and attendees find it.

What attendees see

In the attendee app

Attendees simply get help: they message the event team or a provider, and when a request becomes a work item they see it under Work Items, with its status and, for a charged service, a Review & approve step.

Tips

  • Give each vendor its own service provider account rather than a shared one, so the work item list shows who delivered what.
  • Put an admins-only group chat in place for your service providers' own coordination on event day.
  • Remove a vendor from the event team after the event; their work items stay on record.
